Program Review Meeting Minutes for 11/12/14

·         Non-attendees: Lynn Potter, Jolie Coulter, Amy Tucker, Dawn Astrom, Megan Howard, Felisha Tinner, and Sally Jones
·         The three members that were in attendance discussed the following:
o   Progress in uploading evidence – Prior to this meeting little evidence was uploaded to the One Drive that Megan Howard created.
o   Reasons for no evidence: teachers not giving evidence to grade level teacher to upload, grade level teacher responsible for program review not knowing how to upload information
o   Discussed using the next meeting as a time to demonstrate how to upload evidence and discuss the importance for uploading evidence throughout the year rather than just at the end.

·         Absent Members: Donnie Reid (in another meeting)
·         No representative from the second grade team.
·         The chair person, Amy Tucker, passed out program review copies to members. Each member received a copy of the K-3 review, writing review, arts and humanities review, and the Practical Living review.
·         As a group we discussed how One Drive would be utilized for submission of data.
o   Megan Howard created a folder in One Drive where all members of the group could submit data.
o   Megan Howard created folders each program review, the each assessed area, and then every demonstrator.
o   We discussed who had access to the one drive and who still needed to be sent an invitation. The following people need to be sent an invitation: Donnie Reid, Lynne Potter, and Felisha Tinner.
o   We also discussed how to upload items into each of the folders.
o   After looking into the folders and how they were set up we continued our thoughts on how evidence would be grouped together in the demonstrator folders. We decided we needed to divide each of the demonstrators up into the number of components depending on the demonstrator. For example, if a demonstrator had four components we then divided it into folders for A, B, C, and D.
·         After reviewing one drive, we discussed materials already completed that are able to uploaded for evidence. The following items were identified as items that were ready for upload:
o   Quality work samples
o   Science projects from fourth grade
o   Third grade Abraham Lincoln field trip and writing personal narratives
o   Pictures taken in the classroom, meet and greet night, etc.
·         We specifically talked about items that could be used for evidence for the Practical Living Review. The following items were discussed in detail:”
o   Pro Dads – having dads come in with students to eat breakfast and watch a short film
o   Cooperative Office – willing to come in and provide lessons on bugs, flowers, trees, animals, etc.
o   Cooperative Office – they are having an after school program for 30 students were they will be using leaves to create a piece of work. This will occur on October 28th.
o   Dental Screenings – discussed signing up for time slots, organizing the project, and taking pictures and getting paperwork to demonstrate as evidence.
o   Career Day – discussed having it one day versus over a period of time
o   Book Walk at Halloween Safety night -  demonstrates working collaboratively with FRYSC and providing additional literacy outside of school
·         Talked about getting a calendar to list events, activities, etc that will provide evidence for program review.

Program Review Meeting Minutes

·         No representative from the second grade team and no representative from the fifth grade team.
·         Prior to Jeremy Hill walking into the meeting we discussed who was going to be chair and who was going to be secretary.
·         Kelsey Mattingly volunteered to be secretary for the program review committee.
·         Jeremy Hill came into the meeting and discussed the following items:
o   Mr. Hill asked the minutes to be typed, uploaded to google documents and uploaded to a blog. Mr. Hill said he would re-send out requests for the blog.
o   Kindergarten, first grade, second grade and third grade will be accounted for this year in the program review.
o   The committee may need to meet more than once a month.
o   Jeremy said he would provide program reviews for each area we are accounted for.
·         After Jeremy Hill left the meeting the following items were discussed:
o   Joni Masterson and Amy Tucker volunteered to serve as co-chairs for the Program Review committee.
o   We will be meeting at least the second Wednesday of every month. Additional meetings will be discussed between members and set up.
o   We discussed setting up an area in the school were we could set up a program review submissions and working area.
o   We discussed various ways we could start collecting data so that we aren't waiting until the middle of the school year. The following things were discussed as possible ways to start data collection:
§  Contacting Tom Diekle – get items published in our local newspaper, PLG-13, Nelson County Gazette
§  Look at next steps that were submitted last year.
§  Curriculum Collaboration – documentation to show collaboration between general teacher and specials teachers.
§  November 18th – Math and Literacy Night
§  February – Megan is possibly going to create a Family Literacy Night for her leadership project
o    We also talked about ways to collect data. The following items were discussed:
§  Setting up a one drive where one member of the committee will collect data for their grade level or allow all staff to submit evidence.
§  Having an area in the school where all teachers can submit evidence and the program review committee will meet, record, and upload evidence.

§  Data collection needs to be a constant.
